Shri Kantha Jilla Modi Samaj (SKJMS) is a community organisation based in Pethapur, Gandhinagar, Gujarat, India. This Privacy Policy explains how we collect, use, store, and protect personal information gathered through the SKJMS Community Portal (skjms.org or the applicable domain).
By using this portal — whether as a visitor, registered member, or administrator — you agree to the practices described in this policy. If you do not agree, please discontinue use of the portal.
Information We Collect
We collect information in the following contexts:
During Census / Member Registration:
- First name, middle name, last name
- Date of birth, gender, marital status
- Education qualification and occupation details
- Mobile number (used as primary login credential)
- Email address
- Home address, city, district, state, pincode, and native village
- Last 4 digits of Aadhaar (partial, for identity verification only)
- Blood group
- Family member details (same fields for each family member)
Automatically collected:
- IP address and approximate location
- Browser type and device type
- Pages visited and time spent (for analytics purposes only)
Via the Contact Form:
- Name, mobile number, email, subject, and message
We do NOT collect: full Aadhaar number, PAN card number, bank or financial information, or passwords of any kind.
How We Use Your Information
Your information is used exclusively for the following purposes:
- To maintain the SKJMS community member directory and census database
- To send OTP verification messages to your registered mobile number for login
- To display your profile and family data when you are logged in
- To send community notices, event announcements, and important updates
- To respond to enquiries submitted via the contact form
- To facilitate admin review and approval of new member registrations
We do not sell, rent, or share your personal data with third parties for commercial, marketing, or any other unauthorised purposes.
Data Storage & Security
All personal data is stored in a secured PostgreSQL database hosted on a reputable cloud provider (Neon or Supabase — to be updated). The following security measures are in place:
- No passwords stored — authentication is OTP-only; no password is ever collected or stored
- Partial Aadhaar only — only the last 4 digits are stored; full Aadhaar is never collected
- Encrypted in transit — all data is transmitted via HTTPS / TLS
- Restricted admin access — only authorised SKJMS personnel can access the admin portal
- Parameterised queries — database queries are protected against SQL injection
While we take all reasonable steps to protect your data, no digital system can guarantee absolute security. We encourage members to keep their registered mobile number secure and to log out after each session.
Media & Images
Gallery photos uploaded by SKJMS administrators are stored via Cloudinary CDN and served publicly as part of the community gallery. These images are intended for community viewing purposes only.
If you appear in a gallery photo and wish to have it removed, please contact us at the email address listed in Section 11. We will process removal requests within 7 working days.
Profile photos uploaded by members are stored privately and are only visible to the member and SKJMS administrators.
Your Rights
As a registered member, you have the following rights regarding your personal data:
- Access — View all personal data we hold about you by logging into your profile page at any time.
- Correction — Edit and update your personal details and family information directly from your profile page.
- Deletion — Request deletion of your account and associated data by contacting us at the email in Section 11. Note: certain anonymised or aggregated records may be retained for community record-keeping obligations.
- Withdrawal — Request removal from the member directory at any time by contacting SKJMS directly.
We will acknowledge all data rights requests within 5 working days and resolve them within 30 days.
Children's Privacy
Minor family members may be registered by the primary member (household head) on their behalf as part of the family census. We do not directly collect information from children; all data for minors is submitted by an adult primary member.
Data of minor members is not displayed publicly and is only accessible to the primary member and authorised SKJMS administrators.
If you believe a minor's data has been submitted without appropriate consent, please contact us immediately using the details in Section 11.
Third-Party Services Used
This portal uses the following third-party services to operate. Each provider has their own privacy policy, and SKJMS is not responsible for their practices:
- Cloudinary — media storage and CDN for gallery images and profile photos (cloudinary.com)
- MSG91 / Twilio — OTP delivery to Indian mobile numbers for authentication
- Neon / Supabase — PostgreSQL database hosting
We only share the minimum data necessary with each service provider for the portal to function correctly.
Changes to This Policy
We may update this Privacy Policy as the portal evolves or as legal requirements change. When we do:
- The "Last Updated" date at the top of this page will be revised
- Significant changes will be announced via a notice on the SKJMS Notice Board
- Continued use of the portal after any changes constitutes your acceptance of the revised policy
